Summary:
As a Administrative Assistant, you will play a crucial role in efficiently managing the rental properties.
You will be responsible for handling various administrative tasks, including reviewing rental applications, addressing tenant and landlord inquiries, creating advertisements, and ensuring the smooth day-to-day operations of our property management.
This role requires a candidate with excellent communication skills, strong organizational abilities, computer proficiency, and a keen eye for detail.
Key
Responsibilities:
1.
Review Rental Applications:
Evaluate and process rental applications, ensuring compliance with company policies and local regulations.
Verify applicant information, conduct background checks, and communicate application status.
2.
Tenant and Landlord Communication:
Answer telephone calls and respond to tenant repair requests promptly and professionally.
Address landlord inquiries, providing information and assistance as needed.
Identify and troubleshoot the nature of phone calls to ensure timely and appropriate responses.
3.
Computer Skills:
Utilize property management software (Buildium) to maintain accurate records of tenant information, leases, and maintenance requests.
Proficiency in basic office software (e.
g.
, Microsoft Office) and the ability to adapt to new software tools.

Advertisement Creation:
Create visually appealing property advertisements using tools like Canva to attract potential tenants.
Utilize various online platforms and marketing strategies to promote available properties.
5.
Communication Skills:
Demonstrate excellent written and verbal communication skills in interactions with tenants, landlords, and colleagues.
Maintain a professional and helpful demeanor when addressing inquiries and concerns.
May speak English and Spanish.

Organizational Skills:
Maintain well-organized records of property documents, leases, and communication logs.
Ensure the efficient management of property-related paperwork.

Follow-up and Problem Solving:
Demonstrate a proactive approach to follow up on tenant and landlord requests, ensuring timely resolutions.
Identify and address issues that may arise during property management effectively.
8.
Basic Bookkeeping:
Maintain accurate financial records, including rent collection, expenses, and budget tracking.
Ensure timely and accurate payment processing and reporting.
Desirable Skills/
Qualifications:
High school diploma or equivalent; additional relevant education is a plus.
Some previous experience in property management or a related field.
Strong computer skills.
Knowledge of property management software would be a plus.
Some experience in creating visually appealing advertisements using Canva or similar tools.
Manage different Social Media platforms.
Excellent communication skills, both written and verbal.
Exceptional organizational skills and attention to detail.
Problem-solving abilities and the capability to handle various tenant and landlord interactions effectively.
Basic bookkeeping knowledge.
Ability to work independently and as part of a team in a fast-paced environment.
Knowledge of local rental laws and regulations is an advantage.
