Summary:
The Academic Services Representative plays a crucial role in leading our customer service efforts within Southwest University.
This position is responsible for various tasks, including opening and closing our buildings, answering phones, processing book orders, organizing the scrub room, distributing books on the first day of school, and warmly greeting anyone who enters our building.
The Academic Services Representative will serve as a friendly and helpful point of contact for students, faculty, staff, and visitors, ensuring a positive and supportive environment.
Responsibilities:
Ensure the timely opening and closing of our buildings, following established procedures and protocols.
Provide exceptional customer service to students, faculty, staff, and visitors, addressing inquiries and resolving issues promptly and professionally.
Answer incoming phone calls, respond to inquiries, and provide information on academic services, policies, and procedures.
Process book orders accurately and efficiently, ensuring timely delivery to students and faculty.
Organize and maintain the scrub room, ensuring availability and proper inventory of required attire.
Assist with book distribution on the first day of school, ensuring a smooth and organized process for students.
Greet individuals entering the building, offering assistance and direction as needed.
Maintain a welcoming and professional atmosphere in the academic services area, ensuring a positive experience for all.
Collaborate with other departments and staff members to address student needs and provide support as required.
Stay updated on university policies, programs, and events to provide accurate and current information to students and visitors.
Assist with opening and closing procedures, ensuring the security and safety of the premises.
Perform routine checks and inspections to identify any maintenance or security issues, reporting them promptly to the appropriate authorities.
Qualifications:
High school diploma or equivalent.
Some college coursework is preferred.
Prior experience in a customer service or administrative role is desirable.
Strong interpersonal and communication skills, with the ability to engage effectively with diverse individuals.
Excellent organizational skills and attention to detail.
Proficiency in using basic office software and computer applications.
Ability to multitask and prioritize responsibilities in a fast-paced environment.
Friendly, approachable, and patient demeanor with a genuine passion for assisting others.
